Privacy Policy

This policy describes how 1876513 Ontario Inc. ("IntelAGENT", "we", "us", or "our") collects, protects, and uses user information while maintaining confidentiality and compliance with Canadian law.

Personal Identifiable Information

Users may provide identifying details such as name, phone number, or email when contacting the company. The organization commits to keeping this data confidential and not sharing it with unauthorized parties, except as permitted by law or for quality control purposes.

The company reserves the right to disclose information when required by court order, governmental regulation, or legal proceedings. Users can opt out of optional communications (marketing, events) but will receive mandatory notifications (security updates, product announcements).

In cases of corporate transition, merger, or acquisition, personally identifiable information may be transferred to the acquiring entity while remaining subject to applicable legislation.

Submission of User Data

Clinical and personal information entered by registered users remains their property. The company will not share, sell, or disclose such information to unauthorized third parties without explicit user consent.

Control of User Data

Access is protected through username and password authentication. Users are responsible for maintaining password security and ensuring authorized access only.

Monitoring

The company uses gathered information for internal purposes, including billing preparation and system infrastructure monitoring.

Website Analytics

This public website uses Cloudflare Web Analytics, Microsoft Clarity, and StatCounter. Our documentation site uses Microsoft Clarity.

Cloudflare Web Analytics records aggregate traffic — pages viewed, referring sites, and approximate region — and sets no cookies. StatCounter records aggregate visit and referrer counts, and uses cookies to distinguish returning visitors. Microsoft Clarity records anonymised usage sessions and interaction heatmaps so we can improve page layout and documentation; it uses cookies to recognise a returning session, and masks text entered into forms by default.

This measurement applies to the public website and documentation site only. It is not linked to any IntelAGENT account, and it is never combined with clinical, patient, or billing information. The IntelAGENT application itself carries no third-party web analytics and no session recording.

Transactional Information

Sensitive transaction data, including credit card and bank account information, is secured according to industry standards and PCI compliance requirements.

Browser Extensions

IntelAGENT publishes browser extensions that allow clinicians to bill from within the electronic medical record they already use. This section describes IntelAGENT for Arya EHR, an extension for Google Chrome distributed on an unlisted basis to existing IntelAGENT customers. IntelAGENT is not affiliated with, endorsed by, or operated by Arya EHR.

What the extension accesses

The extension operates only on app.aryaehr.com. When a signed-in user opens a patient chart, it reads that patient's record from Arya EHR using the user's own existing Arya session: name, date of birth, sex, health card number and version code, province of insurance, address, and the referring physician recorded on the chart. For reporting, it also reads referral records and the submission status of patient portal intake forms.

Where that information is sent

Patient information is transmitted only to the user's own IntelAGENT billing account, and only when the user explicitly chooses to create a claim. Only the information an OHIP claim requires is sent: patient identifiers, service date, billing codes, diagnostic code, and referring physician. The extension transmits data to no other destination. It contains no analytics, no telemetry, no advertising, and no third-party services.

What the extension stores

Stored locally in the browser only: an IntelAGENT authentication token issued at sign-in, and the signed-in user's name, email, and billing number. No patient information is stored by the extension. Patient data exists in browser memory only while a billing panel or report is open, and is discarded when the tab is closed. Signing out deletes the stored token.

Read-only access to the medical record

The extension never creates, modifies, or deletes any record in Arya EHR. This restriction is enforced in the extension's code, which refuses any request to Arya other than a read.

Permissions the extension requests

Patient and user information handled by the extension is never sold, and is not shared or transferred to any third party.

Change in Policy

The organization reserves the right to modify this policy and will notify users of significant changes via email.

Data Retention

The company may reject, suspend, or delete data that breaches terms or poses risk, particularly where criminal activity is suspected or legally required. Upon account termination, access is revoked, and data deletion occurs at the company's discretion.

Governing Law

This policy is governed by Canadian law. In conflicts with the Terms of Service, the Terms of Service prevail.
